BLUF: Tracked items represent the VA asking you—or someone else—for information. Miss a deadline and your claim gets decided without that evidence. Monitor va.gov at least weekly because VA notification systems are notoriously inconsistent.
The Veterans Benefits Administration uses a tracked item system to manage information requests during claim development. Understanding these items helps you respond appropriately and avoid delays.
Request Categories Explained
Claimant requests: Information needed directly from you—medical records, financial documents, personal statements.
Federal requests: Records from other government agencies, including Veterans Health Administration (VHA) treatment records.
Internal requests: VBA workflow tracking—these monitor internal processes rather than requiring your action.
Private requests: Information from non-government sources like VA contract examiners or private medical providers.
Important Context
Several aspects of the tracked item system create confusion:
- Some "requests" function as notices to you or internal status markers rather than action items
- The VA.gov website sometimes displays more detail than the VA mobile app for the same request
- Terminology can mislead—"no longer needed" indicates the request was submitted, not that an exam was cancelled

Common Questions
Request shows "no longer needed" but I haven't had my exam? The confusing language indicates the request itself was fulfilled (the exam was scheduled), not that the examination is cancelled. Your exam should still occur as scheduled.
VA website displays a blank or incomplete request? Contact the VA directly at 1-800-827-1000 or reach out to your VSO for clarification on what's actually needed.
Is there a "third signature" requirement? No such tracked item exists. Decisions requiring higher-level authorization don't generate visible request items in the tracking system.
